Publish a newsletter

The Newsletter component allows to use details of the People you have added to your contact list to send newsletters.  There are three stages to publishing a newsletter; creating the newsletter content, creating a mailing list and finally publishing the newsletter.  To publish a newsletter you'll need people to send to. Instructions on adding people as contact can be found in Add People.

Create Newsletter Content

The newsletter creation options have been kept simple to make them as flexible as possible.  It is possible to create both simple pain text newsletters and more complex HTML e-mails.  Although it is possible to create HTML newsletters, this approach is not recommended as HTML e-mails are blocked by many e-mail clients.  If you want to use HTML e-mails then it is recommended that you advise all recipents to add your e-mail address to their e-mail client's safe senders list to make sure their receive your newsletter.

If you choose to create a simple plain text newsletter then you can add links to content that you have previously uploaded to the CMS. Using the approach you can create any kind of newsletter with your chosen editor or word processor and provide it to your customers in any format, such as PDF.  For instructions on how to add a download please see Add a download.

To create a newsletter;

  1. Select Customers, Newsletters from the menus, then click New
  2. Enter a Title and Content Date for your newsletter
  3. Add your newsletter content to the content box.  If you want name or the company name of your contacts to appear in your newsletter you can use the following parameters;
  • [FirstName]
  • [LastName]
  • [CompanyName]
  1. Click Save when you have finished

Create A Mailing List

Once you've created your newsletter you need to decide who to send the newsletter to and send it.

To define your distribution list

  1. Select Customers, Newsletters from the menus, then click List for the newsletter you want to send
  2. Add criteria for selecting contacts and click Search or select the first letter of a first name or last name
  3. Select your chosen contacts and click Add to add them to the mailing list.  You can also click Remove to remove contacts from the mailing list
  4. Repeats steps 2 and 3 until all required contacts have been added to the mailing list

Publish A Newsletter

The final step is to publish the newsletter by sending it to the defined mailing list.

To publish the newsletter;

  1. Select Customers, Newsletters from the menus, then click Publish for the newsletter you want to send
  2. Click Send

The ability to send newsletters using your own FROM: address needs to be configured.  To make sure your e-mails are sent using the correct FROM: address please read Set up a newsletter from address.
